Thank you for being a part of our 36th Annual Conference! We are thrilled to host you and look forward to a dynamic and impactful conference.

On this page, you’ll find all the essential information about booth setup and logistics to ensure a smooth and successful experience. We’re also pleased to announce a new component added to this year’s exhibitor hall to boost engagement—details are provided below.

General Information
Exhibiting hours are on October 10th at Pasadena Convention Center, Exhibit Hall A.
However, you can set up your table one day in advance on 10/9 from 1:00 pm - 5:00 pm.

1. Exhibitor Checklist
Please use this handy checklist to prepare for the event. Don’t forget to check into registration when you arrive to pick up your name badge.

2. Exhibitor Set Up
You have two options for setup:

  • 10/9 (day before) from 1:00 - 5:00 pm

  • 10/10 Morning of Event: 7:30 am – 8:45 am

3. Power/WiFi
SCANPH will provide WiFi to all exhibitors. Login information is:

Power at your table must be arranged and purchased via Edlen Electric. Order here. Deadline to order is 10/04/2024.

4. Shipping
Shipping items to the convention center is discouraged since the venue doesn’t have a shipping & receiving team like the hotel. If you MUST ship an item to PCC, it can only arrive 10/9 or 10/10 (not sooner). Please use the provided shipping label here.

5. Schedule

  • 10/9: Optional Advanced Set Up from 1:00-5:00 pm

  • 10/10: Day of Event

    7:30 am – 8:45 am: Exhibitor Setup

    8:00 am: General Attendee Registration Opens

    8:30 am: Complimentary Breakfast (ballroom foyer)

    9:00 am: Exhibiting Hours Begin; End at 4:15 pm

    9:30 am: Morning Keynote Session (Ballroom)

    10:30 am: Session I Workshops

    12:00 pm: Luncheon (Ballroom)

    1:30 pm: Session II Workshops

    3:00 pm: Session III Workshops

    4:15 pm: Closing Reception in the Foyer (free)

    Tear down: You may tear down before the reception starts or immediately after it.

    Remove all items and vacate no later than 6 pm.

6. Table Placement and Numbers
Registration will be outside the ballroom, in the foyer of the exhibit hall. Kiana Gutierrez will be checking all exhibit tables in the morning to ensure you have what you need and answer any questions. Day of you can reach her at (818) 497-0482.

All exhibit tables are 8-feet by 2-feet; two chairs and basic linen included; typical workable space is 10 feet by 6 feet.

8. Hotels
There are various hotels in Pasadena near the convention center. See options here. Hotel Dena is right next to the convention center and is most convenient option. See here.

9. Registration
Any person attending to your exhibit table must be officially registered for the conference. SCANPH staff will personally help register your staff for the event and register your complimentary ticket. Contact us to change any registration details.
REGISTRATION CLOSES ON 10/4.

10. Parking / Loading and Unloading Materials
Parking is $15 at the convention center. Find details here. All vendors will have 30 minutes to park and unload their equipment from the exhibitor lot (exact address is: 128 S. Marengo Ave. Pasadena, CA 91101, Map and picture of the unloading entrance here). Then they will have to relocate their cars and park in available lots. Exhibitors can only use the exhibitor lot to unload/load their vehicles; you cannot leave your car parked here and go set up your table. You cannot fully set up while parked in the exhibitor lot. Unloading from Marengo Ave. and Green St. is not permitted as these are traffic lanes and vehicles cannot stop.

12. Exhibitor Scavenger Hunt
Based on your valued feedback from last year’s conference, SCANPH has created an interactive Conference Scavenger Hunt! We hope this effort will increase traffic and engagement between our attendees and wonderful exhibitors. Please take a moment to review the below instructions. Thank you for your participation!

  • Stickers will be provided by SCANPH for Scavenger Hunt

  • In an effort to increase voluntary participation, please do not offer attendees stickers, but have them ask first

  • Remind participants to enter their passport in our raffle box located at the SCANPH info table once all tasks are completed
