On this page, you’ll find all the essential information about booth setup and logistics to ensure a smooth and successful experience. We’re also pleased to announce a new component added to this year’s exhibitor hall to boost engagement—details are provided below.

General Information
Exhibiting hours are on October 8th at Los Angeles Convention Center, Petree Hall. However, you can set up your table one day in advance on 10/07 from 1:00 pm - 5:00 pm.

1. Exhibitor Checklist
Please use this handy checklist to prepare for the event. Don’t forget to check into registration when you arrive to pick up your name badge. (*Please note: Registration will not be open on 10/07, so any exhibitors coming to set-up will need to still check in on 10/08)

2. Exhibitor Set Up
You have two options for setup:

  • 10/07 (day before) from 1:00 - 5:00 pm

  • 10/08 Morning of Event: 7:30 am – 8:45 am

3. Power/WiFi
Wifi must be arranged and purchased via Boldyn by 9/08.

Power at your table must be arranged and purchased via Edlen Electric at this link HERE by 9/10.

4. Shipping
LACC in house shipping center handles all shipments. See details here. Please contact R Floyd to set this up rkylelynn@iqcopy.com

Please note: Neither LACC nor SCANPH is responsible for shipping items out from the conference. All items must be arranged to be shipped out by you and your organization. No items can remain at the LACC after 6 pm on 10/09.

5. Schedule

  • 10/07: Optional Advanced Set Up from 1:00-5:00 pm.

  • 10/08: Day of Event

    7:30 am – 8:45 am: Exhibitor Setup (Please check-in through registration before going to the exhibitor hall. You must have a badge to access all areas of the conference.)

    8:00 am: General Attendee Registration Opens

    8:30 am: Complimentary Breakfast (ballroom foyer)

    9:00 am: Exhibiting Hours Begin; End at 4:15 pm

    9:30 am: Morning Keynote Session (Ballroom)

    10:30 am: Session I Workshops

    12:00 pm: Luncheon (Ballroom)

    1:30 pm: Session II Workshops

    3:00 pm: Session III Workshops

    4:15 pm: Closing Reception in the Foyer (free)

    Tear down: You may tear down before the reception starts or immediately after it.

    Remove all items and vacate no later than 6 pm.

6. Table Placement and Numbers
Registration will be outside the ballroom, in the foyer of Petree Hall and Plaza. Christy Hayek will be checking all exhibit tables in the morning to ensure you have what you need and answer any questions. Day of you can reach her at (732)682-2996.

All exhibit tables are 8-feet by 2-feet; two chairs and basic linen included; typical workable space is 10 feet by 6 feet.

9. Registration
Any person attending to your exhibit table must be officially registered for the conference. SCANPH staff will personally help register your staff for the event and register your complimentary ticket. Contact us to change any registration details. REGISTRATION CLOSES ON 9/10.

10. Parking / Loading and Unloading Materials
Parking is $30-40 at the convention center. Find details here. Find detailed parking instructions for LACC and a map.

All vendors will have 30 minutes to park and unload their equipment. See map here and attached instructions in this document.

12. Exhibitor Scavenger Hunt + Updated Area
We are bringing back the Conference Scavenger Hunt for another year! Please take a moment to review the below instructions. Thank you for your participation!

  • Stickers will be provided by SCANPH for Scavenger Hunt

  • In an effort to increase voluntary participation, please do not offer attendees stickers, but have them ask first

  • Remind participants to enter their passport in our raffle box located at the SCANPH info table once all tasks are completed

We will also be having a second networking lounge area and all-day coffee service in the back of the exhibitor hall to increase attendee engagement and traffic within the exhibitor space.
